COVID-19 Resources for Clubs
Without the regular face-to-face connection provided by club training, game day and trip activities staying connected with members are perhaps even more important than ever before. It's been very pleasing to see a number of clubs have used both social media and traditional e-newsletters to keep their members engaged and updated on what's happening in their sport.
A number of clubs are also providing virtual fitness and instructional classes for members to keep up their fitness levels and connectivity with the club (MU Sport can confirm that this type of coaching/instruction is also covered by University Insurance). For those clubs that can keep up this great work, and please share this great work with us if you're happy for us to share with the wider club cohort.
MU Sport is available to assist clubs with the following:
- Developing an e-newsletter
- We can assist with developing internal communications to help keep your members updated with the latest news. This includes advice on messaging, scheduling and delivery methods
- Creating social media profiles
- We can provide advice on best practices for social media presence
- Tips for engaging with your membership
- We can provide some advice and examples on engaging content that has worked for us
- Tools for creating sport-specific fitness/skill video content
- Basic video creation is possible with little to no prior knowledge and equipment. We can provide some guidance with getting started on making videos / live content
MU Sport also encourages you to continue to share the link to MU Sport's Staying Connected page which has a growing number of online fitness and conditioning classes. If your club has any feedback or ideas feel free to reach out to Marketing Manager Aaron McNaughton.
Club revenue streams, particularly through membership fees, have likely taken a big hit over the past few weeks, and will likely not be able to fully recover this year. Clubs are encouraged to review their budget and planning for reduced revenues and potential savings. Prudent financial planning will be critical in order for clubs to come out the other side of this pandemic in as healthy a position as possible.
MU Sport is available to assist clubs with the following:
- Paying bills
- We can arrange to process most payments on behalf of the club and then recoup the cost from the club at a later date to assist with cash flow. Payments can be processed immediately when credit cards are accepted. EFT payments can be made but require additional notice.
- Collecting funds/memberships
- We can issue invoices on behalf of the club or can arrange for payments to be accepted through various online payment gateways to collect income for you
- Financial Advice/Planning
- We can advise you on how you can look at meeting your financial obligations over the next few months as well as reshaping your budget/financial plan to ensure your club remains solvent

Many clubs engage coaches and instructors on seasonal contracts and may employ administrators/managers and other key personnel as casual, part-time or full-time employees. For some of these individuals, the club's remuneration, seasonal payment or stipend may be really important to their personal finances. We understand many clubs, just like many businesses across the country, are standing down coaches/instructors and other key personnel until such time as competitions and training are permitted to recommence.
Recent government support packages for staff and not-for-profit organisations may also provide financial assistance for some clubs.
JobKeeper
We encourage clubs who have suffered a fall of 15% or more in their revenue to apply with the ATO to register their club as eligible to receive the JobKeeper payment under the not-for-profit category.
The JobKeeper payment can be used to pay the following eligible employees:
- are currently employed by the eligible employer (including those stood down or re-hired);
- were employed by the employer at 1 March 2020;
- are full-time, part-time, or long-term casuals (a casual employed on a regular and systemic basis for longer than 12 months as at 1 March 2020);
- are at least 16 years of age at 1 March 2020;
- are an Australian citizen, the holder of a permanent visa, or a Special Category (Subclass 444) Visa Holder at 1 March 2020;
- were a resident for Australian tax purposes on 1 March 2020; and
- are not in receipt of a JobKeeper Payment from another employer.

Conducting committee meetings and engaging with your members has certainly changed with everyone in isolation. In conjunction with the University's Advancement team, we have provided the following advice and guidelines for clubs while using Zoom or any other meeting platform:
- Zoom is a free meeting platform with a variety of video conferencing and group collaboration features. Paid plans are also available with more functionality
- By logging in to Zoom, you can amend meeting settings, add polls, run meeting reports and more – https://zoom.us/meeting

- When hosting a meeting, you can edit the following under the Security tab:
- Block participants from sharing their screen
- Lock meeting to stop any new participants from joining
- Enable a waiting room and choose which participants may enter
- Remove participants if required
